TERMS AND CONDITIONS AGREEMENT
This Terms and Conditions Agreement ("Agreement") is entered into between ỤZỌ TRAVELS ("ỤZỌ "), a travel company, and the undersigned participant ("Participant") for participation in the group trip to Dakar, Senegal, from Monday 5 of May to Sunday May 11, 2025 ("Trip"). By signing this Agreement, the Participant agrees to the following terms and conditions:
Trip Dates: Monday 5th May to Sunday 11th of May, 2025
Destination: Dakar, Senegal
Group Size: 1 - 10
Package 1 - Early bird and Full payment discount
£1,900 per participant (Shared occupancy)
Offer is only available until the 31st of December 2024
Package 2 - Early bird and Full payment discount
£2,4740 per Participant (Single occupancy)
Offer is only available until the 31st of December 2024
Package 3 - Standard Dakar Package
£2000 per Participant (Shared occupancy)
Package 4 - Standard Dakar Package
£2600 per participant (Single occupancy)
Instalments
Participants purchasing the Standard Dakar packages (either shared or single) have the option to purchase the trip via installments. Installments will be paid in three,four, five or six instalments (The instalments are predetermined payment blocks based on the month the Participants pays the deposit) starting from the month of booking.
Full Payments
Participants have the option to pay for the trip in full at the time of booking.
Payment Reminders
Participants opting to pay for the trip in instalments will receive timely payment reminders via email prior to each due date.
3. Deposits
Early bird tickets (Single or double occupancy) are non - refundable.
A non-refundable deposit of £300 (Shared occupancy) and £450 deposit (Single occupancy) is required to secure a spot on the trip.If a Participant is paying in installments.
4. Refund Policy
For participants paying via installments deposits are non - refundable. Refunds will be made for the remainder of any payments made, excluding the deposit if a request is made on or before the 5th of January 2025.
For Participants purchasing Early Bird Tickets (Single or Shared Occupancy) these tickets are non - refundable.
For Participants paying in full,(not paying installments) a non-refundable fee of £450 will be retained in the event of cancellation by the Participant. This covers administrative costs and any pre-booked services.The remainder of any payments made will be refunded if requested on or before the 5th of January 2025.
5.Default on Payments
Participants paying in instalments who miss a payment deadline, will receive a reminder email notifying them of the missed payment. If the payment is not made within three days of this reminder, the participant's trip will be automatically cancelled, and no refund will be issued under any circumstances.
ỤZỌ Cancellation
If ỤZỌ cancels the trip for any reason, Participants will automatically receive a credit note equivalent to the amount paid. This credit is valid for 24 months from the date of cancellation. If not used within this period, the participant will forfeit the credit.
7.Global Pandemic
In the event the trip is cancelled due to a global pandemic, Participants will receive a credit to be applied to one of ỤZỌ future trips. This credit is also valid for 24 months. After this period, the Participant will forfeit the credit.
Passport and Visa
Participants are responsible for ensuring they have a valid passport,(For Senegal your passport must have an expiry date of at least six months after the date of your arrival) and for obtaining any necessary visas. ỤZỌ will not accept responsibility if a Participant is denied entry to Senegal.
b) Flights
Participants are responsible for booking their own flights and for providing ỤZỌ with their inbound and outbound flight details.
c) Travel Insurance
Participants must arrange their own travel insurance. ỤZỌ will not be responsible for any travel insurance payments or claims.
d) Additional Meals and Expenses
ỤZỌ will provide breakfast and one meal (either lunch or dinner) per day. Participants are responsible for all other meals and for paying for any alcoholic beverages, souvenirs, or other personal expenses.
Accommodations
a) ỤZỌ will provide accommodation for the duration of the trip.
Room Assignments
b) If a Participant is sharing a room, a roommate will be assigned by ỤZỌ randomly. Roommates will be assigned based on gender to ensure comfort and privacy.
Roommate Requests
Specific roommate requests may be considered but cannot be guaranteed.
Itinerary Changes
ỤZỌ will make every effort to adhere to the planned itinerary. However, due to unforeseen events, the itinerary may be amended, cancelled, or replaced. Changes to the itinerary may also involve rescheduling activities to different days.
Included Activities
ỤZỌ will cover all transportation to itinerary destinations, entry fees, and the cost of activities listed in the itinerary.
Venturing Out Alone
ỤZỌ will not be responsible for the safety of Participants who choose to venture out independently outside of the group activities.
By signing this Agreement, the Participant grants ỤZỌ the right to use their image and/or video footage for promotional and marketing purposes, including but not limited to ỤZỌ's website, Instagram, TikTok, and other marketing materials.
a) ỤZỌ will provide airport pick-up and drop-off services for Participants. Participants are required to provide their flight details to ensure these services can be arranged.
Missed Transfers
b) ỤZỌ is not responsible for missed transfers due to changes in flight details not communicated in a timely manner by the Participant.
Assumption of Risk
The Participant acknowledges and accepts that participation in the Trip involves inherent risks. ỤZỌ will not be liable for any personal injury, loss, or damage suffered by the Participant during the Trip, except where caused by ỤZỌ's gross negligence or willful misconduct.
Indemnity
The Participant agrees to indemnify and hold ỤZỌ harmless from any claims, demands, or damages arising from their participation in the Trip, including those related to personal injury, loss of personal property, or any other incident occurring outside of the activities organized by ỤZỌ.
Raising a Complaint
a) If the Participant has a complaint or issue during the Trip, they should first raise it immediately with a ỤZỌ representative on-site to allow the issue to be resolved promptly.
Formal Complaints
b) If the Participant is not satisfied with the resolution provided during the Trip, they may submit a formal complaint in writing within 14 days of the end of the Trip. The complaint should be sent to ỤZỌ's customer service email at vanessaugbo@gmail.com.
Complaint Details
c) The formal complaint should include the Participant’s name, date, contact information, a detailed description of the issue, the steps taken to resolve it during the trip, and any supporting documentation or evidence.
Response Time
d) ỤZỌ will acknowledge receipt of the complaint within 7 days and will provide a full written response within 28 days of receiving the complaint.
Resolution
e) ỤZỌ will make every effort to resolve complaints in a fair and reasonable manner. The Participant will be informed of the final decision in writing.
Further Action
f) If the Participant is not satisfied with ỤZỌ’s final decision, they may seek further action through appropriate legal channels or consumer protection agencies as governed by the laws of England and Wales.

a) Lawful Collection and Processing
We collect and process personal data only where it is necessary for the purposes of providing our services, including group travel bookings, communications, and customer support. We rely on appropriate legal bases for processing, such as consent, contractual necessity, and legitimate interests.
b)Transparency: We are fully transparent about how we collect, use, and share your personal information. Our Privacy Notice outlines the categories of data we collect, the purposes for which it is processed, and your rights concerning your personal data.
c) Data Security: We take the security of your personal data seriously. All personal information collected is stored securely, and we use appropriate technical and organisational measures, such as encryption and access controls, to protect your data from unauthorized access or breaches.
d) Data Retention:Personal data will be retained only for as long as is necessary to fulfill the purposes for which it was collected. Once your data is no longer needed, it will be securely deleted or anonymised in accordance with our data retention policy.
e) Your Rights: Under the UK GDPR, you have the right to access, correct, delete, or object to the processing of your personal data. You may also withdraw consent where applicable or request the restriction of data processing. To exercise these rights, please contact us at vanessaugbo@gmail.com.
f) Third-Party Processors:We may share your data with trusted third parties (e.g., airlines, accommodation providers) to fulfill your travel arrangements. We ensure all third-party processors comply with GDPR requirements and have data processing agreements in place to protect your information.
g) International Data Transfers:If we transfer personal data outside the UK, we ensure that appropriate safeguards are in place, such as standard contractual clauses, to guarantee that your data remains protected.
Amendments:ỤZỌ reserves the right to amend these Terms and Conditions at any time. Participants will be notified of any changes.
Governing Law:This Agreement shall be governed by and construed in accordance with the laws of England and wales.
Severability: If any provision of this Agreement is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
Entire Agreement:This Agreement constitutes the entire understanding between ỤZỌ and the Participant with respect to the Trip and supersedes all prior agreements, representations, and understandings.
17. Inclusion Policy
Our group trips are thoughtfully curated for individuals of African, Caribbean, and mixed heritage with African or Caribbean roots. We design our experiences to foster a safe, inclusive, and culturally aware environment where the well-being and comfort of our participants are always our top priority.
At this time, our trips are exclusively for people from the above communities. While we deeply appreciate the interest and support from allies and others outside these backgrounds, we currently do not accommodate participants who do not identify with this heritage. However, we may explore expanding our inclusivity in the future.
By signing below, the Participant acknowledges that they have read, understood, and agree to be bound by the terms and conditions outlined in this Agreement.
